Challenges Encountered

Shippers were using different online carrier systems, third-party software, and manual waybills to manage all modes for courier shipments. Shippers needed to contend with learning and maintaining multiple systems. Some cases the admin assistants were manually creating courier requests along with the required service and frequently writing was ineligibility along with missing GL codes for shipping chargebacks. Shippers spent a significant amount of time answering emails and calls regarding shipment status inquiries from internal employees.

Verification of deliveries for shipping status and on time deliveries was very laborious by typing in tracking numbers into the various systems and often was not in real time. Facility managers we faced many challenges regarding courier costs and how shippers were shipping and using service levels that were at premium charges across multiple mailrooms/receptions desks nationwide.

Strategies Employed

2Ship’s solution has given Deloitte’s shippers one centralized system and address book. In a few simple steps, they can choose the right carrier and carrier service based on the admin assistants needs from scanning a barcode leading to accuracy and efficiency for processing shipments.

2Ship was configured to enforce Deloitte’s specific business rules so that admin assistants must assign a cost centre before a ship request can be completed. Shippers can now have all the necessary information including the GL code without having to run after the assistants. Also, time wasted on calls/emails for tracking was cut down dramatically giving their internal clients a higher level of service along with increased efficiencies for the mailroom. Training and live-chat support were provided in English, and French to get all shippers quickly up to speed with the easy-to-use system

Outcome

Web-based 2Ship connects directly to carrier’s sites to automatically update rates for all modes of transportation. Shippers, Admin Assistants, and recipients get real-time tracking information. Facility Managers were able to enforce logistics policies across specific users/groups of users and locations for better control over courier expenditures leading to a $20,000 savings in their first year. The high-level visibility allowed them to have a better understanding of their carrier mix and helped give Deloitte buying power when negotiating with carriers.

The Consolidation Process at 2Ship
  1. Order Collection: Orders are gathered from multiple sources, whether from an e-commerce platform, warehouse, or physical locations.
  2. Individual Packaging: Each order is individually packed and labeled with customer details and relevant tracking information.
  3. Grouping into a Master Shipment: Orders bound for similar destinations are grouped together into a larger “master” shipment, reducing the number of parcels sent separately.
  4. Documentation & Customs Preparation: Proper customs documentation (e.g., commercial invoices, customs declarations) is prepared for the entire master shipment, simplifying the clearance process.
  5. Shipping to Destination: The consolidated master shipment is sent via a chosen freight service, benefiting from bulk shipping rates.

Final Distribution: Once the master shipment reaches its destination, orders are separated and dispatched to individual customers or distribution centers.
